What information we hold about you

  • We hold the following personal information about you:

- Full name

- email address

- Postal address

- Telephone or mobile number

- Which harmony you sing in the choir

  • We may on occasion ask for an individual photograph and/or video of you to record events and for promotional purposes. We will ask for your consent for this on a case by case basis.

  • We only obtain personal data from you directly and always ensure you have given your consent to us holding this.

  • We never share your personal data with third parties unless you specifically request this, or we are required to by law. We will hold your personal information on our systems for as long as you choose to stay subscribed or for 7 years following your last interaction with Soul of the City Choir, whichever happens first.

  • We use MailChimp for our e-newsletters and administrative communication with you, so the information you provide us will also be held securely by them. MailChimp’s servers are based in the United States, so your information may be transferred to, stored, or processed in the US. MailChimp participates in and has certified its compliance with the EU-U.S. Privacy Shield Framework, which certifies that is has adequate safeguards in place. How we use the information we hold about you

  • To keep you informed on all administrative matters related to the choir term whilst you are a current term member, e.g. changes in rehearsal time/venue; end of term gig details.

  • To let you know of any other activity Soul of the City Choir organises or participates in. This can include: how to join or re-join the choir term; early bird discounts; Choir Extra; New choirs we may start; Social events we organise.

  • To provide you with information on our blog and social media presence.

How we store your information

  • All electronic devices which hold your personal data are encrypted and password protected. Passwords are changed every 6 months.

  • We keep back-ups of all your information on our external hard-drives which are also password protected.

  • All hard copies of your data are safely locked.

  • All personal data on paper that is no longer necessary is shredded.

What rights you have over your information

  • You can request to see a copy of the personal information we hold about you at any point by emailing [email protected] .

  • If you change your information or believe that any of the data we hold is inaccurate or out of date, please click on the ‘Update subscription preferences’ button at the bottom of every email sent through Mail Chimp or contact us by email. We will update our records with these amendments within 30 days.

  • You have the right to request that we erase any personal data we hold about you. You can do so by clicking on the ‘Unsubscribe from this list’ button at the bottom of every email sent through Mail Chimp or contact us by email. We will update our records and safely remove your personal information within 10 days.
